Configure Access

Put the right content in the right group, assign people, and revoke access when needed.

What it is

A practical guide to configuring Access Groups for both content and people—and how to revoke or restore access.

Note: Access Groups are fixed (Anonymous, Public, Insiders, Just Me). Just Me is always unlimited. Anything placed in Public is also available to Anonymous.


Quick Start

  1. Allocate contentMind → select file(s) or bulk select by checking the box at the top → Edit (bottom) → Edit Access Group → choose group → Save Changes.

  2. Assign peopleAudience → select user(s) → Edit Access Group (bottom) → choose group (e.g., Insiders) → Save Changes. (Users must be invited before they can be assigned to Insiders.)

  3. Revoke or restore → Open a user’s profile from AudienceRevoke Access (or Grant Access to restore).


Configure content (Mind → files)

  1. Go to Mind.

  2. Select one or multiple files you want to place behind a group.

  3. Click Edit at the bottom → Edit Access Group.

  4. Pick Just Me / Insiders / Public as appropriate → Save Changes.

  5. Remember: Public content is also visible to Anonymous.

Tips

  • Keep sensitive/internal items in Just Me.

  • Use Insiders for invite‑only materials.

  • Use Public for logged‑in visitors (and Anonymous by inheritance).


Configure people (Audience → users)

  1. Open Audience and locate the person (filter or search by name/email).

  2. Select the checkbox next to one or more users.

  3. Click Edit Access Group (bottom).

  4. Choose Insiders / Public / Anonymous / Just Me as needed → Save Changes.

  5. Insiders requires an invite first—invite the user, then assign them.


Revoke or restore access (individual)

  1. From Audience, click the user’s name to open the profile.

  2. Use Revoke Access to remove access immediately.

  3. To restore later, open the same profile and choose Grant Access.


FAQs

  • Can I create more groups? No—only Anonymous, Public, Insiders, Just Me.

  • Can Anonymous and Public have different content? No—anything in Public is also available to Anonymous.

  • Can I limit Just Me? No—Just Me is always unlimited.

  • Why can’t I assign someone to Insiders? They must be invited first; then assign via Audience → Edit Access Group.


Best practices

  • Assign content first, then people—so new members see the right materials immediately.

  • Keep confidential content in Just Me until you’re ready to expand access.

  • Review assignments monthly—retire or move items and users as programs evolve.
