Document Upload Failing

If your document, audio, or video upload keeps failing, there are a few common reasons this might happen. Follow these steps to identify the issue and fix it quickly.


How to Troubleshoot

1. Check the Attention Icon

Hover over the Attention icon next to your upload.

It will show a short message explaining what went wrong.

Below are the most common errors and how to fix each one:


Error 1: YouTube Upload Failure

What it means:

The connection to your YouTube or RSS feed didn’t complete properly.

How to fix it:

  • Simply remove the file and re-upload it.

  • This resolves most syncing issues caused by temporary interruptions between platforms.


Error 2: No Audio Detected

What it means:

Delphi found an audio or video file, but your voice wasn’t detected.

For example, someone else was speaking, or there was only background sound.

How to fix it:

  • Upload a recording where you are clearly speaking.


Error 3: Cannot Access File

What it means:

Delphi doesn’t have permission to access the file you uploaded, usually from Google Drive or Dropbox.

How to fix it:

  • Change the file’s sharing setting to “Anyone with the link can view.”

  • Then re-upload the file.

  • Or, download the document as a PDF and upload it manually.


Error 4: File Too Large

What it means:

The uploaded file exceeds 5GB, which is the maximum size Delphi can process.

How to fix it:

  • Split the video or audio into smaller sections (under 5GB each).

  • Upload each piece separately.

  • Always check the attention icon before re-uploading, it tells you exactly what went wrong.

  • Keep your file sizes small and your sharing settings open when using links.

  • Re-uploading usually fixes minor syncing or timeout issues.

My Delphi is not behaving the way I want it to

If your Delphi isn’t behaving or responding how you expect, there are two main areas to check: your Purpose (North Star) and your conversation-level revisions. These two tools guide how your Delphi learns, behaves, and adapts over time.


How to Troubleshoot

Follow these steps to realign your Delphi’s behavior and improve its responses.

1. Review and Refine Your Purpose (North Star)

Your Purpose sets the tone, personality, and decision-making logic for your Delphi. If it feels off, start here.

  1. Go to the left-hand sidebar and click Mind.

  2. Click the Settings gear icon in the top-right corner.

  3. In the Purpose box:

    • This section defines your Delphi’s “North Star”, what it exists to do and how it should guide conversations.

  4. Write a clear, concise statement about your Delphi’s core goal.

    • Example: “I am a mindset coach who helps people reframe self-doubt into self-trust.”

  5. Add subcategories or specific behaviors underneath to fine-tune tone or process.

    • Example: “Before giving advice, ask three clarifying questions.”

This ensures your Delphi consistently mirrors your goals and coaching style.


2. Revise Specific Conversations

If your Delphi gives a response you don’t like, you can directly edit it so it learns from your feedback.

  1. Go to your Conversations tab.

  2. Find the message where your Delphi didn’t respond correctly.

  3. Hover over the blue message bubble and click the pencil icon (Revise).

  4. Edit the text to reflect how you want Delphi to respond next time.

  5. Save your changes and your Delphi will automatically train from your revision to improve future answers.

  • Keep your Purpose statement short and specific, it should read like a mission, not an essay.

  • Use clear examples when revising so your Delphi understands tone and intent.

  • Revisit your Purpose periodically as your goals evolve.

My Delphi does not talk like me

Your Delphi might not sound like you because either the tone and phrasing in its responses don’t reflect your personal style, or the voice sample you uploaded doesn’t match the way you usually speak. In some cases, it might be using overly long sentences, different vocabulary, or a tone that feels too formal or too casual.


How to Troubleshoot

1. Adjust the Speaking Style

  1. Go to Mind in your Delphi dashboard.

  2. In the top right corner, tap the settings icon.

  3. Scroll down the page that appear and edit Speaking Style.

  4. Update the instructions to describe how you want your Delphi to speak.

Tips for Speaking Style

  • Specify tone preferences:

    • “Use concise, 1–2 sentence replies.”

    • “Sound conversational but confident.”

    • “Include phrases I often use, like ‘let’s dive in’ or ‘here’s what I’d do.’”

  • Save and test by starting a new chat to hear the difference.

2. Replace the Voice Sample

If your Delphi’s tone still feels off, the issue may be the voice recording used for training.

Often, users upload samples recorded in a sales pitch or casual tone, leading to mismatched results.

  1. In the left sidebar, click Voice under the Mind section.

  2. Find your uploaded voice sample.

  3. Click the three dots (⋮) next to it and select Delete.

  4. Upload a new sample that reflects your usual speaking tone (calm, natural conversation).

Tips for Recording

  • Speak clearly and naturally, as if talking to a friend.

  • Use the tone you want Delphi to emulate daily (not promotional or overly casual).

My Delphi’s voice sounds bad

Your Delphi’s voice sounds unnatural or “off.” This usually happens when the uploaded voice sample doesn’t accurately represent how you sound in everyday conversation. For example, the recording might have been too scripted, too formal, or recorded in a tone that doesn’t match how you want your Delphi to speak (overly energetic, too slow, or promotional in style).


How to Troubleshoot

Follow these steps to replace your current voice sample with one that better reflects your natural tone:

  1. Go to Voice under the Identity section on the left-hand side of your Delphi dashboard.

  2. Find the uploaded sample currently used to train your Delphi.

  3. Click the three dots (⋮) on the right-hand side of the sample box and select Delete.

  4. Upload a new voice sample that captures the tone you want your Delphi to use.

Tips for Better Results

  • If you want your Delphi to sound friendly and relatable, record yourself speaking calmly, as if talking to a friend.

  • If you want a more polished or professional tone, record in a slower, confident cadence.

  • Avoid sales or scripted tones. Speak naturally and conversationally.

  • Use a quiet environment and a clear microphone to ensure high-quality sound.

Once uploaded, your Delphi will automatically retrain on the new sample, and you should notice an immediate improvement in how its voice sounds.

I can’t access my account

If you’re unable to log into your Delphi account, don’t worry, there are a few quick steps you can take to regain access. Most login issues can be resolved by resetting your password or verifying which email address is linked to your account.


How to Troubleshoot

If you can’t sign in or aren’t sure what’s causing the issue, follow the steps below to recover your access quickly:

  1. Check your login email

    • Make sure you’re using the same email address you used when you first signed up for Delphi.

    • If you manage multiple addresses (e.g. team@, hello@, or personal@), try logging in with each.

  2. Reset your password

    • Click “Forgot password?” on the login page.

    • You’ll receive a reset link, be sure to check your spam or promotions folders if you don’t see it within a few minutes.

    • Once reset, return to the login page and try again.

  3. You’re a collaborator not a creator?

    • Reach out to the creator and have them check under account settings —> Team whether your email is still down as a collaborator.

    • If not have them send you an invite to regain access.

  4. Still can’t log in?

    • If you’ve already tried the steps above and are still unable to access your account, please contact our Support Team at [email protected].

    • Include:

      • The email address linked to your Delphi account

      • A brief description of what happens when you try to log in (e.g., “invalid email,” “no link received,” “page not loading”)

  • Avoid using multiple email addresses, your projects, builds, and subscriptions are tied to the email you registered with.

  • If you’ve changed teams or email providers, reach out to support so we can help reconnect your existing Delphi.

Actions are not triggering

If your Delphi’s actions aren’t firing as expected, for example, automations not sending emails, tags not applying, or custom workflows not activating. This usually comes down to one of three things: conditions not being met, a small configuration issue, or a delay in syncing.


How to Troubleshoot

If your actions aren’t triggering, follow these steps to identify and resolve the cause quickly:

  1. Check your action conditions

    • Go to your Delphi’s Mind → Actions panel.

    • Make sure each action has a clear, active condition (for example, “When user completes Form A” or “When tag = subscriber”).

    • If the condition doesn’t occur exactly as defined, the action won’t fire.

  2. Confirm the action is enabled

    • In the Actions list, verify the toggle beside your action is set to Active (green).

    • If it’s paused or inactive, Delphi will skip it even if the condition is met.

  3. Check trigger timing and dependencies

    • Some actions (like “Send Email” or “Add Tag”) rely on other events to happen first.

    • Review the action order and make sure prerequisites (like form submission or CRM sync) are working correctly.

  4. Review logs or test manually

    • Go to Actions → Logs (or Activity) and check if the action was attempted.

    • If nothing shows up, use the Test My Delphi tool (bottom-left corner of your dashboard) to simulate the trigger manually.

  5. Re-save and refresh

    • Occasionally, an old session or cached version prevents triggers from firing.

    • Click Save, then refresh your browser and test again.

Tips For Better Results

  • Always test your actions in “Test My Delphi” before sharing publicly.

  • If your action references a deleted tag, email template, or CRM field — recreate it and relink.

  • For multi-step automations, ensure each step’s output matches the next step’s trigger condition.

  • Avoid duplicate or overlapping actions that might conflict (e.g., two “Send Email” actions triggered by the same event).

My mind score is not high enough to preview

I don’t want my Delphi public

You do not need to make your Delphi public to use or test it. You can fully test, embed, and even restrict access to your Delphi without making it visible to the public.


How to Troubleshoot

If you’re unsure how to test or use your Delphi privately, follow the steps below to preview, adjust, and control who has access.

  1. Go to the bottom left corner of your dashboard and click Test My Delphi.

    • Here, you can test how your Delphi chats, texts, or calls users.

    • Use this space as a feedback loop to fine tune your Purpose and Speaking Style settings before publishing.

  2. If you want to embed your Delphi on your website or Kajabi page without making it public:

    • Go to Integrations on the left hand side where you will see all the possible options like; your own website, Kajabi, Mighty Networks, Thinkific, Slack and more.

    • Follow the instructions and embed the Delphi on your site (it will function normally, even if unpublished).

  3. To restrict access so only specific people can use it:

    • Place the embed behind a paywall or member-only area controlled by your platform.

    • This ensures your Delphi remains private and only accessible to those you approve.

Tips For Better Results

  • Use Test My Delphi before sharing it anywhere to ensure it feels aligned with your tone and purpose.

  • Avoid publishing until you’re satisfied with how it sounds and behaves.

  • If you want limited access, manage visibility from your own website or membership system.

Purpose, Custom Instructions, and Style

Edit voice

If your Delphi’s voice doesn’t sound quite like you, maybe it’s too fast, too flat, or just off, you can easily fine-tune it in the Voice Playground. This tool lets you test, adjust, and preview your voice until it feels perfectly aligned.


How to Troubleshoot

Follow these steps to adjust and test your Delphi’s voice:

  1. Go to the left-hand sidebar and click Voice.

    • This will open your voice settings.

  2. Click Open Voice Playground at the top of the page.

    • You’ll see a large text box where you can type anything for your Delphi to read aloud.

  3. Use the controls to experiment and refine your sound:

    • Stability: Controls vocal variation.

      • Lower = more expressive and dynamic.

      • Higher = more consistent and even.

    • Similarity: Determines how closely your Delphi matches your uploaded sample.

      • Higher similarity can reproduce background noise or lower-quality traits if they exist in your sample.

    • Speed: Adjusts how fast your Delphi speaks.

      • Test several speeds to find what feels natural.

  4. Review your History at the bottom of the page.

    • This shows all your past tests and any previous audio samples you’ve uploaded.

  • Start by changing one setting at a time so you can hear what each adjustment does.

  • Use high-quality, quiet recordings for best similarity results.

  • Always test with text from your own scripts or tone to see how it performs in real use.

CRM Sync not working

If your CRM isn’t syncing correctly with Delphi, this is usually caused by a simple connection or permissions issue. You can typically resolve it in a few quick steps.


How to Troubleshoot

If your CRM data isn’t syncing as expected, follow these steps to reconnect and verify everything is working properly:

  1. Check your integration connection

    • Go to Audience in your Delphi’s left hand side column.

    • Click on Sync CRM on the top right side of the page.

    • Find your connected CRM (e.g. HubSpot, Salesforce, Kit, Beehiiv, etc.) and make sure it says Connected.

    • If it shows “Disconnected” or “Error,” click Reconnect and follow the on-screen prompts to reauthorize your account.

  2. Confirm permissions and account access

    • Ensure the account used for the connection still has admin or integration access in your CRM.

    • If your CRM credentials recently changed (e.g., password updates, admin account removed), you’ll need to reauthorize the connection using your new login.

  3. Verify field mappings

    • Open your CRM integration settings in Delphi and double-check that all required fields (like name, email, and tags) are mapped correctly.

    • Missing or renamed fields in your CRM can prevent syncs from completing.

  4. Check recent activity logs

    • In Integrations → CRM → Logs, review the last few sync attempts.

    • Look for any red error messages (e.g., “Invalid Token” or “Missing Field”) — these will indicate what needs fixing.

Tips For Better Results

  • After reconnecting, run a quick test sync by adding a new lead or user in your Delphi and verifying it appears in your CRM.

  • If you recently switched CRMs or updated your Delphi plan, make sure the integration is still enabled under your tier.
