Phone / WhatsApp Launch

Outcome at a Glance

Who it’s for: Founders, consultants, coaches, sales teams, and creators who connect through calls, texts, or WhatsApp. What you’ll achieve: A dedicated SMS or WhatsApp number that lets people reach your Delphi by text or voice — so you stay accessible without staying available. Time to first win: 45–60 minutes.

This is on an application basis; customers must be approved to gain access to a number

Why it Matters

Phone and WhatsApp are where most real-world conversations happen — introductions, referrals, warm leads, and client updates. But being reachable everywhere comes at a cost: too many pings, repeat questions, and no time to filter what matters.

Adding Delphi as your dedicated number gives you the best of both worlds:

  • Reachable when it matters.

  • Protected from unqualified noise.

  • Always-on to engage, qualify, and respond instantly.

Why this works:

  • Visitors experience instant, personal communication in your voice.

  • You control what conversations reach you in person.

  • It converts casual inquiries into structured data and qualified signals.

Your Delphi becomes your voice line — one that learns, qualifies, and replies like you.

What You’ll Set Up

  • Dedicated Number — Connect a number for SMS or WhatsApp.

  • Profile — Create an Initial Message that greets inbound users naturally and sets expectations (“Ask me anything about [X] — if it’s a fit, I’ll send next steps”).

  • Mind — Upload content your Delphi can use to answer questions: services, pricing, onboarding, FAQs, voice scripts, or past client stories.

  • Actions & Alerts — Automate lead tagging, notifications, and follow-up actions when key signals appear.

  • Integrations (Optional) — Link to your CRM or email for qualified lead sync.

Build → Launch → Operate

Build (30–40 min)

  1. Mind: Add voice-ready material — brief, conversational, and natural.

    • About / Mission overview

    • Services and pricing

    • Onboarding process

    • Testimonials or case studies

    • Common objections or “Why us” talking points Add Context + Publish Dates for accuracy.

  2. Profile:

    • Initial Message: “Hi — this is [Name]. Ask me anything about how I work, pricing, or fit. If it’s a match, I’ll share next steps.”

    • Suggested Questions:

      • “How does your process work?”

      • “What’s included in your [service] package?”

      • “Who’s this best for?”

      • “When can we start?”

  3. Actions & Alerts:

    • Alert Example: “If a user mentions a budget over [$X] or readiness to start, tag as Qualified Lead and notify me.”

    • Action: When Qualified Lead tagged → Send email notification.

Launch (15–25 min)

  1. Connect Your Number:

    • Go to Integrations → Phone / WhatsApp.

    • Submit an application.

    • If accepted, enable SMS (optional WhatsApp if you plan to share the number internationally).

  2. Set Routing:

    • Default inbound texts/calls to your Delphi.

    • Add fallback routing to your email or CRM for qualified tags.

  3. Promote Your Delphi Number:

    • Add to email signature, business cards, and contact page.

    • Post on social: “Text [Your Number] to talk with my Delphi.”

  4. Test Before Launch:

    • Send test messages or calls.

    • Confirm correct tagging and Action notifications.

The goal isn’t to replace your phone — it’s to give your Delphi a voice line.

Operate (Weekly, 15–30 min)

  • Review Conversations: Spot trends and refine Mind content for better voice/text responses.

  • Adjust Alerts: Add or tighten triggers around readiness or purchasing intent.

  • Monitor Tags: Track how many leads are marked Qualified or Not Yet Qualified.

  • Follow Up: Add a nurture Broadcast for users tagged Interested but not yet booked.

Recipes (Copy → Tailor)

Alert Example: “If the user mentions they have a budget above $2K or wants to start this month, tag as Lead and notify me.”

Response Snippet Example: “Sounds like you’re ready to move forward — here’s a quick overview of how we start and a link to book a call if it feels aligned.”

Follow-Up Broadcast (Optional): Subject: “Quick next step before we talk” Body: “If you’re still exploring, here’s a short exercise to define your goals and scope. Reply with your notes — I’ll help you plan next steps.”

Metrics to Watch

  • Qualified Rate: % of phone/WhatsApp leads tagged as Lead or Qualified.

  • Response Rate: % of inbound texts or calls that receive a response.

  • Conversion Rate: % of qualified leads who move to booking or sale.

  • Common Topics: Review Filters → Search terms like “pricing,” “timeline,” “how soon.”

Troubleshooting

  • Low engagement: Share your number more prominently — email footer, bio, link-in-bio, or QR on business cards.

  • High unqualified volume: Refine your Initial Message to clarify who it’s for.

  • Incorrect tags: Adjust alert phrasing (add qualifiers like “over,” “ready to start,” “looking for”).

  • Response delays: Verify that Actions are active and your number is connected correctly.

Pre-Flight Checklist

  • Dedicated number connected (SMS or WhatsApp).

  • Initial Message + 3–5 Suggested Questions live.

  • Mind populated with pricing, services, and FAQs.

  • Alerts configured to tag and notify on buyer signals.

  • CRM or Slack notifications tested.

  • Weekly Review & Revise routine scheduled.

In Practice

Your phone number becomes an intelligent channel — always on, always aligned with your voice. Whether a prospect texts, calls, or WhatsApps you, Delphi answers first — qualifying, informing, and filtering automatically.

“If someone texts saying they’re ready to start or have a $3K+ budget, tag as Lead and notify me.” That’s your Delphi, doing the first call before the first call.
