Community Heartbeat

Keep your community lively with regular check‑ins, highlights, and gentle nudges.

Outcome at a Glance

Who it’s for: Community managers, cohort leads, and creators managing active member spaces. What you’ll achieve: Predictable, low-maintenance engagement through smart prompts, automated nudges, and personalized member experiences powered by tags and alerts. Time to first win: 45–60 minutes.

Why it Matters

  • Sustained engagement: Small, consistent prompts outperform sporadic “big push” events.

  • Member visibility: Both champions and newcomers get moments to shine.

  • Scalable personalization: Tags and alerts help you tailor experiences automatically.

  • Low maintenance: Automations drive the rhythm; you curate the highlights.

Delphi keeps your community pulsing — learning what excites members, tagging them by interest, and creating momentum you can measure.

Build → Launch → Operate

Build (20–30 min)

  1. Prompts & Messages:

    • Draft your weekly #wins or discussion prompt.

    • Write a warm first-time welcome DM (see Recipes).

  2. Decide Placement:

    • Where your Delphi appears — Slack channel, Discord, site embed, or community dashboard.

  3. Set Up Tags:

    • Champions — members who consistently contribute.

    • Newcomers — first-time posters or attendees.

    • Topic Tags — e.g., AI, Strategy, Design, Marketing. Use these to personalize prompts and Broadcasts later.

  4. Configure Alerts:

    • “If user shares a win, tag as Champion.”

    • “If user mentions struggling or seeking help, tag as Needs Support.”

    • “If user shares resources or advice, tag as Contributor.”

    • “If user references an event or meetup, tag as Event-Interested.”

  5. Actions:

    • A. Recurring Schedule (7d) → Send Message (#channel or User): weekly #wins prompt.

    • B. Conversation Ended (First-Time) → Send Message (User): welcome DM.

    • C. Tagging Action: When Alert fires, tag member appropriately for personalization.

Launch (10–15 min)

  1. Activate Automations:

    • Enable weekly recurring prompt (7d).

    • Turn on welcome DM for first-time posters.

    • Verify tagging Actions and Alerts in Testing → Actions Log.

  2. Broadcasts:

    • Draft your first monthly highlights: member wins, top discussions, and upcoming events.

    • Segment by tag if possible — e.g., “This month’s top wins from Champions.”

  3. Promote the Routine:

    • Pin the #wins post or announcement explaining how members can participate.

Delphi keeps your community rhythm — always listening, tagging, and prompting without you chasing engagement manually.

Operate (Weekly & Monthly)

Weekly:

  • Curate 2–3 member wins or contributions.

  • Reply or highlight publicly — celebrate them.

  • Review Alerts: check which tags increased most (e.g., more Needs Support than usual).

  • Adjust prompts to match emerging themes.

Monthly:

  • Send your Highlights Broadcast (top wins, lessons, upcoming events).

  • Use tags to personalize:

    • Champions → exclusive thank-you message.

    • Newcomers → “First Month Highlights” orientation.

    • Needs Support → send resources or upcoming Q&A invites.

  • Review tag analytics: which topics or segments are growing fastest?

Recipes (Copy → Tailor)

Weekly #wins Prompt

“Share one win — big or small — from this week. It could be a lesson learned, a process improved, or a kind word from a client.”

First-Time Welcome DM

“Welcome! Here’s how to get quick, high-quality help: ask one clear question, share context, and try these starters: [list]. Glad you’re here.”

Tagging Action Example

Trigger: Alert “User shares a resource or tip.” Action: Add Tag (User) → Contributor Optional Follow-Up: Send Message (User): “That was a great share — mind if I include it in the monthly highlights?”

Monthly Highlights Broadcast

Subject: This month’s wins + what’s next Body: “Hi {user}, here are 3 standout moments from the community and what’s ahead.

  • [Member/Topic 1] — quick summary

  • [Member/Topic 2] — link or quote

  • [Member/Topic 3] — insight or lesson Reply with your focus for next month and I’ll map your next 10-minute plan.”

Metrics to Watch

  • Weekly Active % — % of members posting or replying weekly.

  • Replies per Conversation — engagement quality indicator.

  • First-Time Posters per Month — community growth signal.

  • Champions Growth — increase in tagged Champions segment.

  • Topic Tags Activity — which tags drive most engagement (used to guide future prompts).

Troubleshooting

  • Prompt fatigue: Rotate weekly prompts; use monthly themes or seasonal topics.

  • Few first-time posters: DM warm introductions; highlight new members in Broadcasts.

  • Low replies: Ask more specific or emotionally resonant questions; tag 2–3 members to kickstart replies.

  • Tag clutter: Audit tags monthly; merge or archive outdated ones (e.g., Event-2024).

Pre-Flight Checklist

  • Weekly #wins Action scheduled and tested.

  • First-time welcome DM Action live.

  • Alerts configured to tag Champions, Newcomers, Contributors, and Needs Support.

  • Highlights Broadcast drafted (segment by tag).

  • Review & Revise routine scheduled.

In Practice

Your Delphi becomes your community’s steady pulse — prompting wins, welcoming new members, and learning what energizes people. Tags turn activity into insight, allowing you to tailor prompts, Broadcasts, and offers to each segment.

“If a member shares a resource, tag as Contributor. If they mention struggling with motivation, tag as Needs Support and follow up with a check-in.” That’s Delphi keeping your community connected, inclusive, and always alive — without the manual grind.
