✏️ How to use individual user profiles

Locate the user in the Audience page. Scroll, filter, or search their name/email.

Open the profile. Click the user’s name; a side drawer appears.

Review Conversations. The Conversations button takes you to a page (in the Conversations tab) showing only their message threads with your Delphi.

Adjust access. Use the Revoke / Grant Access toggle as needed.

Check Details (tab).

  • View summary — automatic snapshot appears when data is rich enough (i.e., after enough messages from a user).

  • See contact info — email, phone, join date.

  • Track activity — last conversation date, total messages, and conversation count.

  • Check membership — tier and access level (private, internal, premium, public). Adjust their access group between

  • Tag them — click their tags to add or remove tags manually.

Add notes by switching to User Info (tab).

  • View collected information—auto-captured interests, goals, preferences.

  • Store custom notes—type in the field, press Add; newest note slides to the top.

  • Edit or delete notes via the trash icon.

Verify usage via Usage (tab).

  • See current-cycle Messages sent, Call minutes, and Video minutes.

  • View the Next reset date so you know when quotas refresh.

Close the drawer. Click anywhere outside of the user drawer and not within the sidebar to return to the table.

✏️ How to use bulk actions

Select your group in the Audience page.

Tick the checkbox in the header row to grab every user on-screen, or tick boxes beside specific names. Remember that you can use filters to make it easier to tick only the users you want!

Edit tags in bulk

  • Click Edit Tags in the bottom bar.

  • Add or remove tags, then hit Save Changes.

  • Review the pop-up → Confirm Update. A green check with “User tags updated.” confirms success.

Revoke (or grant) access in bulk

  • With the same selection, click Revoke Access.

  • Confirm the count in the dialog.

  • Need to restore them later? Filter to Revoked Users → select the same users → Grant Access.


Best Practices

Keep user information current via User Info

Update User Info notes after every meaningful in-person interaction to deepen context.

  • Add key details immediately (role change, new goal, feedback).

  • Delete outdated notes to avoid confusion.

  • Leverage summaries in the Details tab to personalize future conversations.

Remember, this automatically updates, but you have the ability to make the experience for your audience even better!

FAQs / Troubleshooting

Can I undo a bulk action if I tagged or revoked the wrong group?

There’s no one-click undo for bulk actions. Rerun the opposite bulk action (e.g., remove the tag you just added or grant access back) on the same selection.

What happens to a revoked user’s past messages?

When a user gets revoked, all their messages remain in conversation history; they simply lose the ability to send new ones until access is granted again.

Can I export a user’s conversation transcript?

You cannot natively export a user's conversation transcript. Instead, copy text from the Conversations tab and turn it into a document for your users if that's something they request. Nonetheless, they should be able to access their conversations via the conversation history button in the top left corner of the talk page.

Where can I store personal notes about a user?

To store personal notes about a user, use the User Info tab in their profile. Type your note—e.g., “Interested in leadership podcasts”—and click Add. The new entry appears at the top. Edit or delete notes anytime to keep context fresh.
